Terms of Service

These Terms of Service (“Terms”) are an agreement between you and Pilota ApS, CVR 46720776, Danneskiold-Samsøes Allé 41, 1434 Copenhagen K, Denmark (“Pilota”, “we”, “us”), governing your use of the Pilota application and website at usepilota.com (the “Service”). By creating an account or using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.
1. The Service
Pilota is a task cockpit that scores and prioritises your tasks, plans your day against your calendar, and helps you triage messages from tools you choose to connect, with an AI assistant. Pilota is an early-stage service. Features may change, break, or be withdrawn. We will give reasonable notice when a change materially reduces a paid plan, unless an urgent security, legal, or technical issue requires faster action.
2. Eligibility and your account
- You must be at least 16 years old and able to form a binding contract.
- You sign in with a 6-digit code we email you. You are responsible for keeping access to that email account secure, and for activity under your account.
- You agree to provide accurate information and to keep it current.
3. Connected services
You may connect third-party accounts (Google, Microsoft, Slack). By connecting one you authorise Pilota to access that account on your behalf with the read-only permissions shown at the time of consent. Your use of those services remains subject to their own terms, and they are responsible for their own services. You can disconnect any integration at any time in Settings: we delete that account’s stored tokens immediately and, where the provider supports it (Google, Slack), revoke our access at the provider. Microsoft provides no revocation endpoint — we delete our tokens, but you should also remove Pilota from your Microsoft account’s app permissions.
4. Acceptable use
You agree not to:
- use the Service unlawfully, or to infringe others’ rights;
- attempt to breach, probe, or disrupt the Service’s security or infrastructure, or access data that is not yours;
- reverse engineer, scrape, or overload the Service, or use it to build a competing product;
- misuse the connected-account access (for example, to access accounts you are not authorised to use); or
- use voice dictation to submit health information, payment-card information, financial-account credentials, government identification numbers, biometric identification data, or other special-category or highly sensitive personal information.
5. AI features
The Service uses AI to summarise, suggest and draft. AI output can be inaccurate or incomplete and is not professional (legal, financial, medical or other) advice. You are responsible for reviewing AI output before relying on it. Consistent with this, Pilota asks you to confirm before it takes an action on your data. Voice dictation sends a temporary recording through Vercel AI Gateway to SpaceXAI only to create editable text. Pilota does not store the recording. Voice transcription has no provider or model fallback. See our Privacy Policy for details.
6. Your content
You retain all rights to the content you create in Pilota (your tasks, notes and conversations). You grant us a limited licence to host, process and display that content solely to operate and improve the Service for you. We do not claim ownership of your content, and we do not sell it.
7. Plans, payments and credits
Pilota offers Free, Plus, Pro and Max plans. Plus, Pro and Max are monthly subscriptions that renew automatically until you cancel. The price, included credits, currency, billing period, and applicable taxes are shown before you pay. Consumer prices include applicable VAT or sales tax when we are required to collect it. Stripe processes payments and stores payment-card data. Pilota does not receive your full card number or CVC.
- Included credits. Each plan has a monthly credit allowance. Unused included credits expire at the end of that billing period and do not roll over.
- Top-up credits. Eligible paid subscribers may buy a one-time credit top-up. Paid top-up credits do not expire and remain on your Free account after subscription cancellation. We use included credits before top-up credits.
- How credits work. Credits measure the provider cost of AI use. A longer or more expensive request can use more credits than a short request. Credits are not money, cannot be transferred, and cannot be redeemed for cash.
- Plan changes. A paid upgrade can take effect after Stripe confirms any required prorated payment. A downgrade takes effect at the next billing period. The billing screen shows the timing and amount before you confirm.
- Failed payments. If a payment fails or needs your action, we promptly pause normal use of Pilota and its credits. Payment recovery, invoices, cancellation, withdrawal requests, and support remain available. We restore access after Stripe confirms payment. Your stored data and paid top-up credits remain safe during recovery.
8. Cancellation, withdrawal and refunds
You can cancel a paid subscription in Pilota. Cancellation normally takes effect at the end of the current paid period. You keep paid-plan access until then. You do not receive a refund for an unused part of that period unless mandatory law requires one or Pilota agrees that a service error justifies one. You can reverse a scheduled cancellation before the period ends. If you choose an immediate move to Free, paid-plan access ends immediately.
If mandatory consumer law gives you a 14-day withdrawal right, checkout asks you to request that Pilota starts during that period. If you then withdraw, we may deduct the lawful proportion for the service already supplied. We estimate that proportion from the greater of the paid period used and the included paid credits used. For a top-up, we use the paid top-up credits used. Using Pilota does not automatically remove every withdrawal right. Submit a withdrawal request in the billing screen or email hello@usepilota.com. We review launch requests manually. Mandatory consumer rights always prevail.
Approved refunds go to the original payment method. We may remove refunded unused credits and issue a credit note where required. A business purchaser confirms that they have authority to bind the business. Statutory consumer rights apply only when the purchaser qualifies as a consumer.
9. Privacy
Our Privacy Policy explains what data we collect and how we handle it, and forms part of these Terms.
10. Availability and early-stage status
The Service is provided on an “as is” and “as available” basis, particularly while it is early-stage. We do not warrant that it will be uninterrupted, error-free, or that it will meet your requirements. We may modify, suspend or discontinue any part of the Service at any time.
11. Disclaimers and limitation of liability
To the fullest extent permitted by law, Pilota disclaims all implied warranties, and will not be liable for any indirect, incidental, special or consequential damages, or for any loss of data, profits or goodwill, arising from your use of the Service. Nothing in these Terms excludes liability that cannot be excluded under applicable law (including your statutory rights as a consumer).
12. Termination
You may stop using the Service and delete your account at any time in Settings. We may suspend or terminate your access if you breach these Terms or to protect the Service or its users. On termination, your right to use the Service ends; you can delete your data as described in the Privacy Policy.
13. Changes to these Terms and prices
We may update these Terms as the Service evolves. We will update the “last updated” date and, for material changes, notify you in the app or by email. Price changes apply only to a future billing period after notice. Continued use after changes take effect means you accept the updated Terms.
14. Governing law
These Terms are governed by the laws of Denmark, and disputes are subject to the courts of Copenhagen, Denmark, without prejudice to any mandatory consumer-protection rights you have where you live.
